01 The problem

You'll recognise at least one of these

01

Invoicing is a Friday job

Someone sits down with a pile of delivery notes and types them into Xero. Anything that gets missed is money you never invoice for, and you'll never know which.

02

Nobody chases until it hurts

The 60-day debtor gets a call when cash gets tight, not on day 61. By then you've funded their business for two months out of yours.

03

POs live in someone's head

Stock hits the reorder point and nothing happens until a person notices. The order goes in late, the customer waits, and you take the blame.

02 What you get

What's in the CRM we build

11/FIN

Invoices raised on dispatch

The job ships and the invoice lands in Xero with the right lines, the right prices and the right customer terms. Nobody retypes a delivery note again.

11/FIN

Purchase orders that fire themselves

Reorder point hit, PO drafted against the right supplier at the right price, waiting for one click. Or fully automatic on the lines you trust.

11/FIN

Debtors chased on a schedule

A polite nudge at 30 days, a firmer one at 60, escalation at 90, in your words. You get a morning list of who is still ignoring you.

11/FIN

Aged debt you can actually see

Current, 30, 60, 90+ on one screen, updated live, so the conversation with your accountant takes ten minutes.

11/FIN

Two-way with Xero

Payments land, the ledger updates, the chase stops automatically. No double entry, no month-end reconciliation marathon.

03 Why it won't fall over

Why it won't fall over

The systems we sell are already running someone's business.

We built this for Lordwell: invoices raised on dispatch across 56,000+ product lines, purchase orders written against live stock, and aged debt chased without anyone keeping a list. It runs every day. The finance side is where the money hides, which is why it is usually the fastest thing to pay for itself.

04 How it happens

How a CRM build goes

Stage 01

We watch you sell

A day with your sales lot. What happens between an enquiry landing and the money coming in, including the bits people do off the system because the system annoys them.

Stage 02

Your data, moved over

Customers, contacts, open quotes, order history. Usually out of Sage, a couple of spreadsheets and one person's Outlook. We sort the duplicates out before anyone logs in, rather than after the complaints start.

Stage 03

Build it, use it

First working version in weeks. You put real quotes through it while we're still building, because the only feedback worth having comes from a live customer waiting on a price.

Stage 04

Turn the AI on

Once the customer data is clean, the drafting and the quiet-account flags go on. That order matters. AI on top of a messy customer list writes confident nonsense to the wrong contact.

05 Questions

The stuff you're too polite to ask.

Do we have to move off Xero?

No. Xero stays exactly where it is and keeps being your books. We wire into it so the data arrives correctly instead of being typed in. If you are on Sage or QuickBooks we can usually do the same, and we will tell you honestly if we cannot.

What if the automation invoices something wrong?

Anything that does not match cleanly stops and waits in a tray with the reason attached. Nothing gets guessed at and posted to your accounts at 2am. You decide which lines are trusted enough to run without a human.

How long before it pays for itself?

Usually the chasing does it first. Pulling a fortnight off your average debtor age is real cash in your account, and it does not need anyone to change how they work. We will put a number on it at the walk-round rather than guess here.
